Course process: the coordinator checklist [all templates]

How to use the checklist? 

This checklist should serve as your invaluable companion, it tells you the steps for organizing a course on the ITU Academy as well as who does what at each stage.  

For each step, you will find detailed explanations in the corresponding sections of these guidelines as well as links to relevant templates.  

Step 1: Submit a training course outline

The outline serves to craft clear objectives for your course, clarifying what participants will learn and how their progress will be measured. This foundation ensures focused and effective course design, enhancing both learning outcomes and your course's impact.

Submit the training outline to the ITU Academy team for comments on the proposed design of the course. They will discuss with you different delivery options based on your proposed learning outcomes, as well as options for badging and/or certification of your course. 

For face-to-face courses, an information note should be prepared as well, detailing logistics for the course.  

Step 2: Start of the Quality of Assurance process

The quality assurance process and checklist guaranty that your course materials are reliable, credible, and align with ITU's standards, ultimately enriching the learning experience. 

All training courses undergo a review both from a content perspective, by ITU subject matter experts and from an instructional-design perspective, by the ITU Academy team.  

The following elements should be sent to ITU Academy for review: 

  • Training outline (mandatory)
  • Instructor-led materials (upon request): PPT, assessments etc.  
  • Storyboards of self-paced courses (mandatory): before they are put into e-learning format 

Step 3: Course created in ITU Academy

Once the course outline has been approved, the ITU Academy team will create your course on ITU Academy. 

Step 4: Hire instructors and/or instructional designers

Recruitment of professionals with the right skills is critical to ensure that your course will meet high quality standards and use modern software solutions. Their expertise ensures engaging instruction and polished materials, making your course compelling and effective.

  • If your course is instructor-led: hire an instructor
  • If it is self-paced:  
    • and you already have the content, hire an instructional designer for design and production services in e-learning format.  
    • and you don’t have the content yet, hire an instructional designer and an expert (or work with an ITU expert if available) to develop the content.  

For instructional designers, you can either:  

  • Hire one of the existing vendors under Long Term Agreements (LTA) (selected as a result of a competitive bidding process (RFP-S-BDT-2022-017).  
  • Hire an individual 

Step 5: Develop course materials

Course materials should be compelling and well-structured to captivate learnerparticipants and facilitate their understanding. High-quality materials not only ensure a higher course completion rate but also underscore your course's credibility and impact.

Your instructor will develop the course materials while your instructional designer will transform your existing content (PPT or any other source formats) into e-learning format.

Share the ITU Academy templates for slides, storyboards or Rise modules with the instructors or instructional designers to guide them in developing materials.  

Step 6: Course promotion

Effective promotion maximizes enrolment in your course and awareness of your work.  

The ITU Academy team creates a social media card for each course and coordinates with the respective bureau communications team for the promotion. In case where courses are organized with partners, logos and mentions can be added, depending on the partner involvement.  

In case an official launch is planned, coordinators should coordinate with their relevant ITU communications team, copying the ITU Academy team.  

All communication whether by ITU or partners must adhere to the ITU Academy privacy guidelines detailed in this step. 

Step 7: Set up your course on the ITU Academy

Your course page should be user-friendly and organized. This preparation ensures smooth navigation for participants and will contribute to a higher completion rate.

For instructor-led courses, the ITU Academy team will give instructors access to the course. The instructor is responsible for uploading the content, setting up forums and chats as well as exercises, quizzes, and tests/exams.  

For self-paced courses, the ITU Academy team will assist in uploading content.

All courses include a mandatory training course evaluation form, designed by the ITU Academy team.

The course coordinator and course instructor will check the content, revise it if necessary and the ITU Academy team will test the course from the participant’s perspective.  

Step 8: Select participants and deliver your course

Selecting the right participants and regularly communicating enhances group dynamics and contributes to a meaningful, collaborative learning atmosphere.

If there is an application process for your course, you will be required to select which participants to admit.  

The coordinator and instructor should communicate with participants before and throughout the course to relay important information. The ITU Academy team provides technical support should users encounter any issues going through the course.  

Step 9: Submit the end-of-training report

The end-of-training report provides valuable insights into your course's effectiveness. It should build on the feedback received via the participant evaluation form. This document can be used to report on the impact of your activity, attest of the performance of your instructors/designers as well as inform improvements.  

If your course is instructor-led, at the end of your course, fill in the end-of-training report.

If the course is self-paced, this task can be done upon demand by the coordinator.   

Step 10: ITU Academy team issues the badges or certificates

Badges and certificates recognize participants' accomplishments and validate their learning. Following clear requirements and benefiting from a recognized ITU Academy branding enhance the value of your course and raises awareness of your work as participants share them online.

Certificates are issued digitally by the ITU Academy team upon reception of the end-of-training report.  

Badges, used most often in online self-paced courses running all year, are issued digitally once participants have completed all the course requirements.
