Communication by external partners

Email marketing to ITU Academy users

This section aims to provide guidelines for partners, their employees, and subcontractors conducting training activities on behalf of the partners regarding communication sent to users during all types of ITU Academy training activities. "Communication" in this context refers to any information, marketing, promotional, or related material transmitted to ITU Academy platform users, using their personal information (e.g. email addresses) obtained for conducting ITU Academy training activities.

With regard to any such communication, partners should:  

  1. Ensure compliance with:  
    1. the Terms, Conditions and Notices regarding the use of the ITU Academy Website;  
    2. applicable data protection and privacy laws when processing personal information;  
    3. the relevant terms of the cooperation or partnership agreement with ITU; and  
    4. where applicable, any additional instructions given by ITU in this context.  
  2. Make it clear in the message that the email is an advertisement, and provide clear information about the identity of the sending organization (e.g. commercial entity registration number) as well as the official contacts (email, website).
  3. Make sure that the content is:  
    1. strictly related to the partner’s training activities in the context of the ITU Academy and  
    2. in line with the information provided on the ITU Academy website, located at ituacademy@itu.int;  
    3. not creating a misleading impression that such communication is created by or sent on behalf of ITU.  
  4. Obtain the recipient’s prior express consent to receive such communication. In this context, each partner should provide an option (e.g. via e-mail to the partner) for the recipient to withdraw any given consent. No communication, in any form, should be sent to recipients, who have not consented or who have withdrawn their consent to receive communication from the respective partner.  
  5. Ensure that ITU is informed about the content of the communication (e.g. by cc’ing noreply-ituacademy@itu.int in the respective e-mail conversations).
  6. Note that ITU’s name, acronyms, logos or other trademarks, including the name ITU Academy, may only be used with ITU’s prior written approval. Any requests submitted to ITU in this context should give details of the precise nature and context of the intended use.

Use of logos

When courses are organized by partners or by ITU and partners, it is important that communication materials accurately reflect the level of engagement of the partners. The ITU Academy applies the below approach:

Social media promotion

Partners can promote courses on their social media channel using the provided social media card. In their tweets, partners should make accurate references to ITU:  

  • Use the hashtag #ITUacademy
  • Tag the official channels @ITU or @ITUDevelopment. When appropriate, regional channels are also available: @ITUAfrica / @ITUAmericas / @ITUArabStates / @ITUAsiaPacific / @ITUCISRegion / @ITUEurope
